How to plan your day with time blocks
A to-do list tells you what; a time-blocked day tells you when. The moment you try to put every task on the timeline, you find out whether the list fits in the hours you actually have. Usually it doesn't, and that is the useful part: you decide what gets dropped at 8am instead of at 5pm.
- Pick today's top 3. Three outcomes that would make the day a win. Press "Block it" to give each one a 90-minute deep-work slot.
- Place the fixed points. Meetings, school runs, the dentist. They go on the tape first because they can't move.
- Protect the first long gap. Put your hardest task in the earliest open block of 60–120 minutes, before messages start pulling at you.
- Batch the small stuff. Email, messages and errands go into one or two admin blocks instead of leaking into every hour.
- Leave buffer. Most tasks take longer than we think. A 15–30 minute buffer in the afternoon absorbs the overrun.
- Re-block, don't abandon. When the day changes, drag the blocks. The plan is a tool, not a promise.
The full time blocking guide covers the method in depth, with examples and an interactive look at why buffers matter. If you'd rather build a day from a task list automatically, try the schedule maker, or start from one of the time blocking templates.
What the colours mean
| Block type | Use it for |
|---|---|
| Deep work | The task that actually moves your goal. Hard thinking, writing, building. |
| Shallow / admin | Email, messages, forms, errands — batched. |
| Meetings / calls | Time that other people have a claim on. |
| Break / meals | Recovery and buffer. Scheduled on purpose. |
| Personal | Exercise, family, learning, hobbies. |
Questions people ask
Is this time blocking app really free with no signup?
Yes. Executoday runs in your browser and saves your blocks to your browser's local storage. There is no account, no email and no paywall. The only thing that leaves your device is the text you choose to send to the optional AI draft button.
Where is my plan saved?
In this browser on this device (localStorage). It survives closing the tab, but it will not sync to your phone. To move a day elsewhere, export it as an .ics file for Google Calendar, Apple Calendar or Outlook, or copy it as text. You can wipe everything from the privacy page.
How do I time block my day?
Write down the three outcomes that would make today a win. Put fixed appointments on the timeline first. Give your most important task the earliest long block (60–120 minutes), batch email and small tasks into one or two admin blocks, add breaks and a buffer, then work the plan and move blocks when reality changes.
What is the difference between a daily planner and a time block planner?
A daily planner is usually a to-do list for the day. A time block planner gives every task a start and an end on a timeline, so you can see whether the list actually fits into the hours you have.
Can I use it on my phone?
Yes. The timeline is touch-friendly: drag blocks to move them, drag the bottom edge to resize, tap empty tape to add a block. Blocks you create on your phone stay on your phone.
What happened to GoalFlow?
GoalFlow was the earlier name of this planner at executoday.com. It has been rebuilt as Executoday with the same idea: add blocks to a visual daily timeline and execute your most important tasks.
